Office Moving Checklist
The expiration date for your office space lease is fast approaching, and your company has decided that it is time for a change. Whether you are expanding your business, downsizing, or simply wanting to move into a different office, you will want to be as prepared as possible for the big day. With this office moving checklist from Advance Office Installations, you can feel confident that all bases are covered as you check each item off.
Three to Six Months Before
There is no such thing as preparing too early. When you are three to six months out from your office move, you should:
✔ Review your current lease – Make sure that you are aware of the procedure for letting your landlord know that you are leaving your office space.
✔ Hire a moving company – Find a local mover, like Advance Office Installations, that can handle virtually every aspect of your office move.
✔ Notify your employees – Give your employees the good news so that they have time to plan for new commutes and can start packing items.
✔ Take inventory – Go through all of the items in your office, and determine if there is anything that you can get rid of or donate. Also, order any new items that you may need so that they are delivered with plenty of time to spare.
One Month Before
When you are about one month out from moving your office, you can tackle the next phase of the checklist, which includes:
✔ Creating a floorplan – Either map out a blueprint of your new office’s floorplan, or ask your moving company to help you design a layout.
✔ Sharing your new address – Let your clients know that you will be moving shortly, and give them your company’s new address.
✔ Updating your website – Be sure to update your website and any other platforms (social media, e-newsletters, etc.) that have your address on them.
One to Two Weeks Before
As the big day approaches, you will want to tackle smaller tasks, such as:
✔ Switching over accounts – Any subscriptions, utilities, and mail delivery should be notified of your move and updated with your new address.
✔ Backing everything up – If your computer systems don’t already back up automatically, then ensure that they do a week or two beforehand. Also, scan and upload any physical documents.
✔ Packing personal items – Have your employees start packing up any personal objects that they have at their desks or throughout the office.
✔ Securing New Passes and IDs – If your new office building requires any parking passes, employee IDs, or other access items, then be sure to pick those up and distribute them to your employees.
The Day Before or Day Of
Depending when your moving company is arriving at your office, you can take care of these last-minute tasks the day before or the morning of your move. Make sure to:
✔ Label everything – Labeling furniture and other items throughout your office will make it easier to keep track of everything and know what goes where.
✔ Check your new space – Make sure that the electricity (lights, air conditioning/heat, etc.) is turned on at your new office.
✔ Do a final walk-through – Once your office is emptied out, perform one final walk-though to ensure nothing was left behind.
